We believe in and practise the principle that; a sales transaction is not complete until the goods are paid for. Indeed, until the cheque clears in your bank account you are actually worse off than if the sale had not happened in the first place – your costs will not disappear if the customer fails to pay! In the real world though, ‘bad debts’ are probably not much of a problem to you but there is still room for improvement in the efficiency of cash collection. Debtor Services can help by:
- Systematic and regular telephone contact with all ‘live’ accounts
- Becoming a part of your after-sales-service by discovering the reason for delayed payment – before its due
- Making contact before, not just after, due dates
- Regular reporting – but only when necessary, no ‘news’ means prompt payment expected
- Generally building a ‘rapport’ with all appropriate contacts – we will build and maintain our own contact list
The service we provide is evidently different but how does it compare to factoring or invoice discounting, or even just doing your own credit control?
- We place no restrictions on who you can sell to
- The cash comes direct to you without delays, interest or commissions
- Our fees are fixed and easy to budget for
- You still have to wait for your money but it should arrive close to your agreed terms
- We simply aim to reduce the number of debtor ‘days’
- You have no staff, space or cost implications to worry about
What do we need from you?
- A detailed debtors list – preferably sent weekly by email
- And - occasional action prompted by our reports

We’re experienced business people operating what we like to call a ‘High-tech Cottage Industry’ which means efficient operations and enough time/experience to get to know the best customer contacts and establish a ‘rapport’.
Its like having your own credit controller:
- We get to understand your style of business and customer relationships
- We’re dedicated to improving your cashflow
But
- Recruiting and keeping a quality specialist is not an issue
- You can forget about finding a desk, telephone, PC etc.
- Overheads are minimal
- Our attention can’t be distracted or our efforts diverted
- HOW DO WE CHARGE?
- We charge a monthly fee (paid in advance), based on the number of accounts and the volume of invoices
- The minimum fee is £100 per month
- There are no extras – we cover all costs
- Easy-in, easy-out agreement. Typically 3 months trial followed by 3 months notice by either party
Example Client – DIS Ltd
An owner-managed I.T. services company, specialising in network installation and support, with an annual turnover of £2.5M. The client base consists of a core of regular and longstanding customers plus others to make up a list of 80-100 active credit accounts. With a monthly spend of over £30k some clients were obviously very important and deserved sympathetic handling.
The Company was factoring its larger value invoices (over £1,000) which provided quick access to the bulk of the cash. However this was proving expensive and they still had to collect payments for the lesser value invoices. So the Company decided to make alternative arrangements which would be cheaper, simpler and would not increase their head-count:
Debtor Services were engaged to take regular and systematic action to improve cashflow and generally add to the Company’s good standing with their clients by showing that:
- "We’re interested in you, our customer, we think we have done a good job so this is another chance to tell us if there is any reason why we should not expect to receive payment on the agreed date"
The Company’s Financial Controller comments:
- "The speed of collection of debts has improved since using Debtor Services"
- "Since we only receive a list of actions to be taken once a week, administration of debtors is less disjointed and, therefore, more efficient"
- "All debtors are now handled by Debtor Services under our name – the Customer is not confused as to who to pay so the money is in our account quicker"
You can benefit from our service if:
- The bulk of your sales are inter-company and on a credit account basis
- You’re reasonably confident that your customers are credit worthy
- Your volumes are not large enough to warrant a full time ‘credit controller’
- Financing your debtors is not too much of a problem
- However, you can appreciate the value of prompt payment
- You may be nervous about upsetting customers by asking for payment
- You are attracted to the idea of being ‘unburdened’ from non-core activities
